Role purpose

To develop, support and enforce the business management system platform, policies and procedures

What you’ll be doing

As a IMS Co-ordinator your main responsibilities are as follows:

  • Maintain general oversight of the business document management, process mapping, and form & audit systems;
  • Ensure that the document management and filing systems are agreed, and ensure that they are established and maintained to the required standard;
  • Coordinate and deliver OnePlace training to ensure that all team members and any other users requiring access to our systems receive training and record attendance;
  • Act as the focal point for ensuring that records are being collated to meet the requirements of the contract and the need of the business;
  • Monitor and analyse information being uploaded to One Place to ensure that is has been uploaded in accordance with the document management protocols;
  • Visit sites and depots to ensure filing and record systems are being maintained – and to provide support in uploading documents to the appropriate location on One Place;
  • Act as a key point of contact for One Place issues from all stakeholders and resolve issues involving IT if required;
  • Assist with developing, mapping, maintaining and improving systems and processes to ensure document control and system compliance;
  • Assist in the preparation and management of project document templates as required by the appropriate parent company management system arrangements;
  • Provide cover and support for other members of the Performance & Quality team as requested;
  • Provide support and training for process authors across the business;
  • Ensure compliance with the contractual and statutory requirements in relation to archiving;
  • Provide data and produce reports to meet contractual requirements and performance information;
  • Educate the business and sub-contractors on document control requirements.
