About the role
The purpose of this role is to provide comprehensive administrative support to the Network Access team. The post holder will assist with maintaining accurate records, managing the joint inboxes, updating cone times for KPIs, processing road space bookings, handling communications, and supporting the team with stakeholder interactions and compliance obligations.
This role is integral in addressing the current backlog caused by increased booking volumes and a higher number of reactive works. It will also play a key role in preparing for the anticipated rise in bookings following the completion of the Asset Management Framework Plan (AMFP).
The role can be based at the Dartford, Leatherhead or South Mimms depots.
What you’ll be doing
- Process and maintain accurate records of road space bookings using NOMS and NEMS systems
- Input cone times and cancellations in relevant systems such as INFORM and NOMS
- Assist with tracking and managing Time Scale Waiver (TSW) documentation and associated change control processes
- Monitor and manage the Road Space inbox, responding to emails and escalating queries as required
- Support the processing of permits and TMAN applications
- Update and manage cancellations, ensuring compliance with timelines and procedures
- Liaise with internal teams, external stakeholders and local authorities to ensure clear communication and resolution of queries
- Support Road Space Coordinators in stakeholder discussions and data collection
- Process and respond to stakeholder feedback, escalating issues where appropriate
- Assist with maintenance work bookings and advance planning for diversions
- Review stakeholder responses and direct queries to the relevant teams
- Support compliance with contractual obligations through accurate record keeping and reporting
- Use NOMS reporting to identify opportunities for process improvement
- Provide support to Access Planning teams by managing routine tasks and enabling them to focus on more complex planning activities
- Assist with meeting organisation, including scheduling, preparing materials and taking minutes
- Provide support to other business areas during busy periods or absences

Who we’re looking for
- Proven administrative experience, including data input and email management
- Familiarity with IT systems and software used for data management and reporting
- GCSEs, or equivalent, in English and Maths
- Strong organisational skills with the ability to manage multiple tasks effectively
- Proficient IT skills, including Microsoft Office and electronic document management systems
- Excellent written and verbal communication skills
Desirable
- Familiarity with road space booking systems such as NOMS or NEMS
- Experience within highways, infrastructure or compliance‑driven environments
- Understanding of planning change control mechanisms, particularly Time Scale Waivers
- Experience engaging with stakeholders, including local authorities or similar organisations
